If you offer tours or viewings, you know that booking them works differently from booking a haircut or a sales call. Each time slot has a limited number of places, several people may share the same slot, and the people booking are often strangers who contacted you once and expect a quick answer. A booking calendar for tours and viewings has to reflect these constraints, or it simply moves the chaos from your inbox to a spreadsheet.
What makes booking tours and viewings different
Most scheduling tools are designed for one-to-one meetings: one host, one guest, one slot. Tours and viewings break this pattern in three ways.
First, capacity matters. A guided tour of a building, a group viewing of an apartment or an open day at a property all work best with a defined number of participants per slot. Too few, and you spend your afternoon repeating the same walkthrough. Too many, and nobody can see anything.
Second, demand is uneven. A new rental listing or a popular event can generate dozens of requests within a day, followed by almost none. The booking system has to absorb that peak without you approving each request.
Third, the people booking need a fast overview. They want to see which times are still open and book one in under a minute, without creating an account or exchanging messages first.
How a dedicated booking calendar works

As the organizer, you can choose to be notified by email about every new booking and every cancellation. All bookings can be viewed and filtered at any time, and you can download the complete schedule as a PDF or Excel file, for example to print a list of attendees for the day of the tour.
The calendar with all blocked and booked slots can also be subscribed to as an iCal feed in Google Calendar, Apple Calendar or Outlook. That way, your tours and viewings appear next to your other appointments, and you always see the current state without opening another app.
Participants receive a confirmation right after booking and a reminder the day before. If they cannot attend, they cancel online, and the slot becomes available to the next person. You can define how many hours in advance a slot can still be booked and up to when online cancellation is possible, which keeps last-minute changes under control.
